Receptionist
Hours of Work: 15 hours per week – Saturdays and Sundays

Job Summary:
The Receptionist will be an integral part of the Front of House (FOH) team, providing exceptional customer service and ensuring the highest standards of professionalism. The post holder will undertake a variety of routine and non-routine tasks to enhance the patient journey and maintain an exemplary visitor experience. They must demonstrate flexibility, be well-presented, and work effectively both independently and as part of a team. This role requires working at the main hospital reception.
Key Duties and Responsibilities:
Reception Duties – Main Hospital:
- Welcome all patients, consultants and visitors, ensuring a warm and professional greeting.
- Notify relevant staff or departments of arrivals and direct patients/visitors to the appropriate locations, such as The Library or The Study to be collected.
- Consistently deliver excellent customer service.
- Operate the telephone switchboard efficiently and courteously, ensuring all incoming calls are screened and directed appropriately or clear messages are taken and delivered promptly.
- Maintain accurate and up-to-date patient admission and discharge lists using the hospital’s computer system.
- Prepare and distribute a full admission list daily.
- Generate and manage computer reports as needed.
- Collaborate with Admissions to ensure accurate and timely updates on room changes, recording details appropriately.
- Register outpatient appointments in Compucare, ensuring all information is accurately captured.
- Process clinic lists from consultants’ offices, entering them into Compucare daily.
- Prepare patient registration forms prior to arrival, ensuring all patients are registered efficiently.
- Manage patient check-in and check-out on Compucare.
- As required, process patient hospital fees/deposit/payment of invoice via PED machine (or cash if the patient has no alternative method of payment).
- Handle petty cash as required.
- Issue visitor badges where necessary.
- Operate the Hospital’s paging system and ensure pagers are checked and reported for faults daily.
- Follow the Hospital protocols for emergency systems (e.g., Cardiac Arrest, Fire Alert) and take direction from the Duty Manager as required.
- Maintain cleanliness and orderliness in the reception area, The Library, and The Study throughout the shift.
- Maintain awareness of surroundings to ensure safety and quality service.
Security Duties:
- Remain vigilant to prevent breaches of security at the main reception, front entrance and surrounding areas, including the waiting room.
- Screen all visitors and control access through the security doors at reception.
- Adhere to the Hospital’s security policy, ensuring all visitors are processed appropriately and issued passes when required.
General Duties:
- Maintain a welcoming and professional demeanour at all times.
- Uphold patient and hospital confidentiality.
- Attend staff meetings as requested.
- Undertake any additional duties or training relevant to this position as assigned by the line manager or senior management.
