Role Summary:

The Theatre Scheduler is key to ensuring the efficient and smooth operation of the theatre department at King Edward VII’s Hospital. You will manage the scheduling of surgeries, working closely with consultants and their secretaries to accurately input bookings into the CompuCare system. Your role will involve coordinating with various hospital departments to confirm theatre slots, allocate hospital beds, and ensure that all necessary equipment and staff are prepared in advance.

You will also handle last-minute changes, reschedule procedures as needed, and work with the theatre team to ensure optimal resource allocation. Strong organisational skills, attention to detail, and effective communication with departments such as admissions, radiology, and pharmacy are essential. This role contributes directly to maximising theatre utilisation, improving patient flow, and supporting the hospital’s high standards of patient care and service excellence.

 

Key Responsibilities:

  • Coordinate and schedule surgical procedures using CompuCare to ensure accurate and timely bookings for optimised theatre operations and reduced downtime.
  • Liaise with theatre teams and ancillary departments to ensure all necessary resources (equipment and staff) are allocated appropriately for seamless theatre operations and to prevent overbooking.
  • Maintain and update theatre schedules and the resource dictionary in CompuCare to accurately reflect session changes and equipment availability for improved operational efficiency.
  • Communicate theatre availability and session allocations to consultants to manage scheduling effectively for maximising theatre utilisation and minimising delays.
  • Monitor theatre performance metrics such as utilisation rates and on-time starts to identify areas for improvement for enhanced operational efficiency and patient care quality.
  • Provide administrative support to the theatre team, including handling CCSD codes and consultant contact details to ensure accurate record-keeping for effective management of theatre sessions and compliance with hospital policies.
  • Participate in team meetings and collaborate with Central Reservations to streamline the patient booking process for improved coordination and a better patient experience.
  • Assist with rescheduling and ad hoc bookings in collaboration with the Theatre Manager/Coordinator to maintain appropriate staffing and skill mix for operational continuity and safe patient care.

 

What We’re Looking For:

  • Experience & Knowledge: Previous experience in scheduling within a hospital setting, particularly in surgical services, is essential. A strong understanding of clinical terminology and familiarity with healthcare systems, including CompuCare, is highly desirable.
  • Skills & Abilities: You will need excellent communication skills, the ability to liaise effectively with consultants and hospital teams, and strong organisational skills to manage the complex demands of theatre scheduling. You must be proficient in using office software such as Microsoft Outlook and Word, and have an understanding of CCSD codes.
  • Personal Attributes: We are looking for someone who is proactive, detail-oriented, and able to solve problems efficiently. You should be capable of working collaboratively with various departments and ensuring a high level of service excellence in everything you do.
